UK Office & Facilities Manager

 

This role will report to the UK HR Manager and would have a broad involvement across the operation with a strong focus on Health & Safety, Office & Facilities Management. Importantly, this role shall support a dynamic commercial sales team atmosphere.

 

Our UK Office is the hub that allows for our dispersed workforce to connect with each other and with customers. We regularly host customer events, trainings.

The successful candidate’s main focus will be to foster an office environment so that employees, customers, and guests alike have a memorable and safe experience. You will manage all office/facilities related activities, including health and safety procedures for the office and interface with the building’s property management and all of our office service vendors to keep the office in pristine condition at all times (electricity, cleaning, maintenance, etc.)

 

This role will be based in Paddington, London, with daily hours of 9:00 – 17:30.

The Responsibilities

Summary of Office & Facilities Management Responsibilities:

  • Manage daily office operations and high office housekeeping standards.
  • Ensure all facilities are fit for purpose (furniture; machines; plants; cleaners; office changes)
  • Manage and assess existing relationships with current suppliers and source new suppliers as and when required.
  • Manage all administration processes related to the running of the office liaising with Accounts Payable and external providers as required
  • As required support with coordination of UK based events meetings including meeting room bookings, catering, supplies, onsite/offsite meeting facilities & equipment, travels and hotel accommodation.
  • Co-ordinate with IS regarding office equipment and systems maintenance.
  • Establish and maintain the Health and Safety procedures within the office.
  • Organise training pertaining to Health and Safety when required
  • Responsible for providing comprehensive administrative support to the Management team.
  • Provide support on insurances, mobile phones etc.

 Candidates should hold a relevant business qualification although candidates with relevant experience without relevant qualification will also be considered.

You Have

  • Minimum of 3 years’ experience having worked in a related role at senior administrative level.
  • Excellent and demonstrable MS Office skills especially Excel.
  • Proven ability to work efficiently and effectively multitask several time critical projects while maintaining a high-level attention to detail.
  • Ability to maintain priorities and deadlines amidst interruptions.
  • Ability to anticipate administrative issues and work proactively to resolve them with limited input.
  • Have the ability to take ownership and work to strict deadlines in an assertive and efficient manner.
  • The successful candidate will need to demonstrate exceptional flexibility around this role, including availability outside of normal core hours when required.
